The Customer Communication Management (CCM) system is up and running. Documents are being created. Customer communication is going out. In day-to-day operations, there is therefore often no obvious reason to fundamentally question the existing landscape.<\/p>

And yet something is changing.<\/p>

New requirements are formulated more cautiously. Changes to certain document chains are increasingly considered delicate. Historical special cases are part of normal operations. Knowledge of rules, templates, and dependencies is locked in the minds of individual people.<\/p>

None of these patterns alone speaks for a replacement. The decisive question is: How well can our CCM landscape still be understood, controlled, and modified?<\/strong><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

A CCM system can reliably produce output and still become harder to control. Are document templates and rules transparent? Can dependencies be traced? Is it clear what a change elsewhere triggers?<\/p>

In legacy systems, these questions cannot always be answered unambiguously.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

1. Requirements are directed according to the system <\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

When new requirements arise, it is often examined early on what can be implemented with the existing system. \u201eWhat can we actually implement with the current system?\u201c Variants are simplified, processes are adapted, or options are not pursued any further at all. Thus, technical limitations are increasingly influencing the functional solution.<\/strong><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

2. Special cases are part of it <\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

Over the years, additional templates, rules, variants, or shipping logics are added.<\/span>\u00a0<\/span><\/p>

Things get difficult when it is no longer clear which of these are still needed today \u2013 and which only continue to exist, because their dependencies are difficult to assess.<\/strong><\/span>\u00a0<\/strong><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

3. Knowledge is in minds <\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

\u201eIt's best to ask Person X.\u201c<\/strong> In many mature CCM systems, important knowledge is tied to individuals: Which application provides data? Which template is linked to which rule? Where are changes particularly sensitive? If this experiential knowledge is missing, relationships quickly become difficult to understand.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

4. Stability is created through little change <\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

Certain document workflows have been running reliably for years. At the same time, changes to them are avoided wherever possible.<\/strong> Dependencies are difficult to estimate, and impacts are not always clear. This makes new requirements complex or shifts them to other paths.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

5. The question of modernization keeps coming up <\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

Modernization may have been a topic several times already. Nevertheless, similar questions remain unanswered with each attempt. What can stay? What should change? Where are the dependencies?<\/strong> This makes it hard for the decision to move forward.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

None of these points alone speaks for a replacement. What matters is which areas are working well \u2013 and where changes are made unnecessarily difficult.<\/p>
